Privacy Policy
Last updated: September 7, 2026
ixScale (“ixScale,” “we,” “us,” or “our”) is operated by IxScale LLC, a Colorado limited liability company. This Privacy Policy explains what information we collect through our website (ixscale.com), our account dashboard, and the ixScale desktop application (together, the “Service”), how we use it, and the choices you have.
By creating an account or using the Service, you agree to the collection and use of information as described in this policy.
1. Information We Collect
Account information
When you register, we collect your email address, password (stored only as a salted hash — we never see or store your actual password), full name, occupation, and organization. These are provided directly by you.
License and device information
To enforce license terms (trial, commercial, or education) and device limits, the desktop app sends us a one-way hashed identifier derived from your machine's hardware ID plus an app-specific salt — never your raw hardware ID — along with an optional device name you choose. We also record activation and lease timestamps so the app can verify your license offline for short periods without contacting our servers on every launch.
Education account verification
If you apply for a free education account, you upload one piece of supporting evidence (an unofficial transcript, student/employee ID, or an enrollment/employment letter) for manual review. This file is stored only until an admin makes a decision, and is permanently deleted from our servers immediately afterward, whether approved or denied — we do not retain copies.
Communications preferences
If you opt in to marketing email, we record that preference and a unique unsubscribe identifier so you can opt out at any time with one click, from any email we send or from your account dashboard.
Payment information
We do not currently process payments directly through the Service. Commercial licenses are issued manually. If we introduce self-serve purchasing in the future, payment card details will be handled entirely by a third-party payment processor and will never be stored on our servers.
Cloud AI control (optional, off by default)
ixScale can be driven by an AI assistant. This has two modes, and only one of them involves us at all.
On your own computer — the assistant and ixScale talk over a connection that never leaves your machine. Nothing reaches our servers, we cannot see any of it, and no account is required.
From a browser — if you switch this on and accept the separate consent notice, ixScale opens a connection to our servers so an assistant signed in to your ixScale account can reach the copy of ixScale running on your computer. In that mode we relay:
- the text commands the assistant sends, and the text replies ixScale sends back;
- the names of cards in your model and the file name of the open document, because they appear in those commands and replies;
- connection records: which device connected, and when. These appear in our server logs and are not stored in our database.
We do not receive your geometry. No meshes, no voxel grids, no STL, STEP or other CAD files pass through us — exports are written on your own computer. Commands are relayed and not stored: they pass through memory to reach your device and are not written to our database or logs. We keep only the connection records above.
You can withdraw consent, revoke an individual application's access, or switch the feature off in the app at any time; any of the three stops it.
Information we do not collect
We do not use third-party advertising trackers or analytics cookies on our website or account dashboard. The account dashboard uses your browser's local storage only to keep you signed in and to record the time of your last activity so an idle session can be signed out automatically — not for tracking. Both values stay in your browser and are cleared when you sign out.
2. How We Use Information
- To create and maintain your account, and to authenticate you
- To issue, validate, and enforce software licenses (trial, commercial, education)
- To relay AI commands to your own computer, if you have switched on cloud AI control and accepted its consent notice
- To review and decide education account applications
- To send transactional email (sign-in codes, license status, account changes) — these are not optional and are necessary to operate the Service
- To send marketing email, only if you have opted in, and only until you unsubscribe
- To respond to support requests sent to support@ixscale.com
- To detect and prevent misuse, fraud, or violations of our license terms
3. How We Share Information
We do not sell your personal information. We share information only with the service providers that help us operate ixScale, each acting on our behalf and bound to use your data only for that purpose:
| Provider | Purpose |
|---|---|
| Render | Hosting for our backend, database, and website |
| Resend | Delivery of transactional and marketing email |
| Zoho Mail | Our support inbox (support@ixscale.com) |
We may also disclose information if required by law, or to protect the rights, property, or safety of ixScale, our users, or others.
4. Data Retention
- Account information is retained for as long as your account is active, and for up to 12 months after it becomes inactive in case you wish to reactivate it, after which it is deleted. You may request full deletion at any time (see Section 5).
- Education verification evidence is deleted immediately upon a decision being made — never retained afterward.
- Sign-in codes and password-reset codes expire automatically and are not retained beyond their short validity window.
- AI commands relayed to your computer are not stored at all — they pass through memory and are never written to our database or logs. Connection records (which device connected, and when) appear in our server logs, which are retained by our hosting provider for a short rolling window and then discarded automatically.
5. Your Rights and Choices
- Access and correction: you can view and update your profile information from your account dashboard.
- Marketing opt-out: unsubscribe instantly via the link in any marketing email, or by toggling the preference in your account dashboard.
- Deletion: contact support@ixscale.com to request deletion of your account and associated data. We will honor this request except where we are legally required to retain certain records.
If you're in the EEA, UK, or Switzerland
We process your personal information on the following legal bases: performance of our contract with you (operating your account and license), our legitimate interests (securing the Service and preventing misuse), and your consent (marketing email, which you can withdraw at any time). You have the right to access, correct, delete, or receive a copy of your data, restrict or object to our processing of it, and withdraw consent at any time — contact us to exercise any of these.
If you're a resident of California, Colorado, Connecticut, Virginia, or a similar state
You may have the right to know what personal information we hold about you, request its correction or deletion, and opt out of the sale or "sharing" of personal information — we do not sell or share personal information with third parties for their own advertising purposes, so there is nothing to opt out of on that front. Contact us to exercise any applicable state right.
6. Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS/TLS) for all traffic, salted password hashing, Ed25519-signed cryptographic license leases, and macOS Keychain storage for sensitive values on the desktop app. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Children's Privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.
8. International Users
Our servers are located in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your country.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify you directly.
